1.1 accessia respects each individual’s right to personal privacy. This Privacy Policy is designed to assist you in understanding how accessia will collect, use and safeguard any personal information you provide on the website www.accessia.io and the accessia Service. We will collect and use information only in the ways disclosed in this policy. The use of information collected through our Services shall be limited to the purpose of providing the Services for which the Client has engaged accessia. All user information contained within any documents you may use or build is governed by accessia's Subscription Agreement.

2. Security

2.1 accessia has implemented processes intended to protect user information and maintain security of data that we process. Each account holder is assigned a unique username and password, which is required to access their account. It is your responsibility to protect the security of this login information. When you enter sensitive information (such as your login information) on our site, we encrypt all system or customer data in transit and at rest.

3. Application Data

3.1 As part of the accessia Services, we store financial data as well as employee utilization information. We respect the privacy of all users, and consider all data that is collected to be private. accessia may access this data only for the purpose of providing the accessia Services, preventing or addressing service or technical problems, at a Customer’s request in connection with customer support matters, or as may be required by law. accessia will not distribute or sell your information to a 3rd party, except as disclosed in this policy. When you utilize the accessia Service globally, data is submitted and transferred into the United States and you hereby consent to such transfer.

3.2 accessia Services offer you the ability to connect your Google Workspace instance. Where you choose to do this, we will receive information about your Google Workspace account including what users are registered under your Google Workspace account and what third-party services they have accessed through their Google account. We use these data to enable companies to run compliant access management processes. We store user data in compliance with governing data privacy regulations as summarized in this Privacy Policy. Our use and transfer to any other app of information received from Google API Services User Data Policy, including the Limited Use requirements.

3.3 accessia Services offer you the ability to connect your Microsoft 365 instance. Where you choose to do this, we will receive information about your Microsoft 365 account including what users are registered under your Microsoft 365 account and what third-party services they have accessed through their Microsoft account. We use these data to enable companies to run compliant access management processes.

3.4 accessia Services offer you the ability to connect your bank account. If you choose to do this, we will securely receive information about your debit transactions through our partner, GoCardless, including the date, merchant name, transaction description, amount, and more. GoCardless is a licensed AISP, GDPR-compliant, and ISO 27001-certified.

4. Account information

4.1 We collect email addresses from those who contact us via email, and ask for information such as your email address and name when you sign up for an account with accessia. The information we collect is not distributed or sold to a 3rd party. It will only be used to communicate with you about your accessia account, and where needed as part of certain accessia features. You may update, change or delete your account information at any time by accessing your information on your account or contact us at hello@accessia.io. We will respond to your request to access personal information within 30 days.

4.2 We will retain your information for as long as your account is active. We will retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

5. Web server logs

5.1 For statistical purposes, accessia will gather certain information automatically and store it in log files. These log files contain standard information collected by web servers, such as client IP addresses, browser type, Internet Service Provider (ISP), operating system, etc. This information is only used internally, and is not distributed or sold to a 3rd party. accessia uses this information, which does not identify individual users, to analyze trends, to administer the accessia website and to gather demographic information about its user base as a whole. accessia does not link this automatically collected data to personal information.

6. Disclaimer

6.1 We will share only anonymized data with third parties solely to provide the Services. We do not sell your personal information to third parties. However, any information collected by accessia may be shared if it is necessary to investigate, prevent or prosecute illegal activities, suspected fraud, violations to the Subscription Agreement, or as otherwise required by law or a valid government request (including, but not limited to, search warrants, subpoenas or court orders) and when we believe in good faith that disclosure is necessary to protect our rights, your safety or the safety of others. accessia may also share information if it is acquired by or merged with another company. In this event, accessia will notify you via email and or a prominent notice on our website before information is transferred and becomes subject to a different privacy policy. accessia reserves the right to use and disclose any information collected that is not in personally identifiable documents.

7. Cookies

7.1 Technologies such as cookies, tags and scripts are used by accessia and our marketing partners, affiliates, or analytics or customer service providers. These technologies are used in analyzing trends, administering the site, tracking users’ movements around the site and to gather demographic information about our user base as a whole. We may receive reports based on the use of these technologies by these companies on an individual as well as aggregated basis. We use cookies for authentication. Users can control the use of cookies at the individual browser level. If you reject cookies, you may still use our site, but your ability to use some features or areas of our site may be limited.

8. Third-party websites

8.1 accessia is not responsible for the practices employed by websites linked to or from the accessia website, nor the information or content contained therein. When you use a link from the accessia website to another website, our Privacy Policy is no longer in effect. Browsing and interaction on any other website, including websites which have a link to the accessia website, is subject to that website’s own rules and policies.

9. Testimonials

9.1 We display personal testimonials of satisfied customers on our site in addition to other endorsements. With your consent we may post your testimonial along with your name. If you wish to update or delete your testimonial, you can contact us at hello@accessia.io.

10.1 accessia reserves the right to modify this privacy policy at any time, so please review it frequently. If material changes are made to this policy, we will notify you here, by email, or by means of a prominent notice on the accessia website home page prior to the change becoming effective.

11. Policy acceptance

11.1 By using the Website and the Services, you signify your acceptance of this Privacy Policy. If you do not agree or are not comfortable with any policy described in this Privacy Policy, you may discontinue use of the Website or the Services.

12. Terms of use

12.1 Your use of the accessia Services is governed by our Subscription Agreement, which contains disclaimers, limitations of liability and a choice of German law and jurisdiction.
